Online booking system
Online booking system for Australian small businesses.
An online booking system lets customers pick a time without phone tag, sends reminders so they turn up and puts every booking into the same record as the enquiry. Here is what to look for, the rules for reminders and how booking works in Launch Your Dream.
What does an online booking system do for a small business?
It shows customers your real availability, lets them book a time from your website, chat or a link in a text, confirms the booking straight away and sends reminders before the appointment. Your calendar fills without back-and-forth calls, and fewer people forget to turn up.
The bigger gain is joining booking to everything else. When the booking lives in the same record as the enquiry, the reminder, the follow-up and the review request all run from it without anyone retyping details.
What features should a small business booking system have?
Real-time availability, booking from your own website and from chat, automatic confirmations and reminders, rescheduling and cancellation links, buffer times and service areas, calendar sync, and a record of every booking in your CRM. Deposits or payment links matter if no-shows cost you money.
| Feature | Why it matters |
|---|---|
| Your own booking page | No marketplace commission on your own customers |
| Booking from chat | Visitors book in the same conversation |
| Confirmations and reminders | Fewer no-shows and fewer 'what time was it?' calls |
| Reschedule link | Customers move the time instead of not turning up |
| Calendar sync | No double bookings across staff calendars |
| Deposits or payment links | Commitment for high-value or long appointments |
| CRM record | The booking triggers follow-up and the review request |
Do appointment reminder texts have to follow the Spam Act?
A reminder that contains only factual information about a booking the customer made is generally a designated message under the Spam Act: it must identify your business but does not need consent or an unsubscribe. Add a promotion and it becomes a commercial message, which needs consent and a working unsubscribe.
The Spam Act 2003 (Schedule 1, clause 2) treats messages of no more than factual information as designated messages. The ACMA warns that a message with any promotional or sales content is considered commercial. Keep reminders to the time, place, what to bring and how to reschedule.
If you send texts under your business name rather than a phone number, that sender ID must be registered on the ACMA's SMS Sender ID Register. Since 1 July 2026, unregistered names show as 'Unverified' (ACMA).
How do you reduce no-shows with online booking?
Confirm straight away, remind a day before and again on the day, make rescheduling one tap, and ask for a deposit on long or high-value appointments. A reschedule link turns many would-be no-shows into moved bookings, which keeps the slot for someone else.
- Confirm instantlyA text and email with the time, address and what to expect.
- Remind the day beforeWith a reschedule link, not just the time.
- Remind on the dayA short note two hours before suits most services.
- Follow up a no-showA polite rebook message the same day.
- Ask for a deposit where it fitsMake the policy clear before they book.
Should I use a booking marketplace or my own booking page?
Marketplaces can bring new customers, but some charge a commission on each new client and keep the customer relationship on their platform. Your own booking page, on your website and linked from chat, texts and your Google Business Profile, keeps the customer and the data with you.
Many businesses use both: a marketplace for discovery and their own booking page for repeat customers and everything they send themselves.
How does booking work in Launch Your Dream?
Smart Booking is set up to how your industry books. An installer books site assessments, an NDIS provider books intake calls, a practice books first meetings and a pest controller books inspections. The AI Chatbot can book in the conversation, and every booking lands in the CRM with its reminders and follow-up.
- LYD Solar Suite includes two-way Google Calendar sync and can take deposits.
- LYD Pest Control includes termite re-inspection reminders and text-to-pay.
- LYD Accrual OS includes appointment reminders.
- Live demos: solar, NDIS, accounting and pest control.
Common questions
Can customers book from my website?
Yes. The booking page sits on your website and can also be shared as a link in texts, emails and your Google Business Profile.
Do booking reminders need an unsubscribe link?
A purely factual reminder about a booking generally does not, but it must identify your business. Add any promotion and Spam Act consent and unsubscribe rules apply.
Can the AI chatbot make bookings?
Yes. It qualifies the enquiry and books the appointment during the conversation.
Does it sync with Google Calendar?
LYD Solar Suite states two-way Google Calendar sync. Ask about your calendar on the discovery call.
How long does setup take?
Within 7 working days of receiving your onboarding details.
