AI chatbot for small business

AI chatbots and AI agents for Australian small businesses.

An AI chatbot on your website answers common questions at any hour, captures the enquiry and books the appointment, then hands the conversation to a person when it should. Here is what it can and cannot do, the Australian rules and how to set one up safely.

What is the difference between an AI chatbot and an AI agent?

A chatbot answers questions in a conversation. An AI agent also takes actions: it creates the contact in your CRM, books the appointment in your calendar, tags the enquiry and alerts your team. For a small business the useful version is usually both: a chatbot that answers, connected to systems that act.

What can an AI chatbot do for a small business?

It answers the questions you hear every day, such as service areas, availability, eligibility and what happens next, at any hour. It captures the enquiry details, qualifies the lead against your rules and books the appointment, so the morning starts with booked calls instead of a pile of unanswered messages.

  • Solar installers: answers rebate and timing questions, then books a site assessment.
  • NDIS providers: answers common eligibility questions and books an intake call.
  • Accounting practices: captures the enquiry and books a first meeting.
  • Pest controllers: books inspections after hours.

In VCPility, AI chat is part of the Elevate plan and above; the Launch plan includes a standard chat widget (vcpility.com.au/plans, checked October 2026). An AI voice receptionist that answers phone calls is offered as a separately priced add-on on some suites.

What privacy rules apply to a website chatbot in Australia?

For businesses covered by the Privacy Act, what a visitor types into a chatbot is a collection of personal information. The OAIC expects you to collect only what is reasonably necessary, tell people the chatbot is AI, update your privacy policy and check what the AI provider does with the data.

The OAIC's guidance on commercially available AI products (published 21 October 2024, updated 17 January 2025) also warns against putting personal information into public generative AI tools and says due diligence is not set and forget.

From 10 December 2026, covered businesses that use computer programs to make decisions that significantly affect people must explain this in their privacy policy (OAIC, 30 September 2026). A chatbot that only answers questions and books times is unlikely to be making those decisions, but check how yours is set up.

How do you stop an AI chatbot giving wrong answers?

Limit it to your own approved content, write the answers to your common questions yourself, tell it what it must never answer (prices it cannot confirm, legal or medical advice, complaints), test it before launch and review real conversations each week. When in doubt, it should hand over to a person.

  1. Write the answersList your 20 most common questions and the answer you want given.
  2. Set the limitsName the topics it must hand to a person.
  3. Test with real questionsRun old enquiries through it before going live.
  4. Label itTell visitors they are chatting with an AI assistant.
  5. Review weeklyRead a sample of conversations and fix what it got wrong.

When should an AI chatbot hand over to a person?

When the visitor asks for a person, raises a complaint, describes something urgent or unsafe, asks for advice the business must give personally, or the chatbot cannot answer from approved content. The handover should alert your team straight away and keep the conversation history, so the customer never repeats themselves.

In Launch Your Dream suites, chat sits in the same centralised inbox as calls, texts and email, so the person who picks it up sees the whole conversation.

How much does an AI chatbot cost for a small business?

Standalone chatbot tools charge monthly, often by conversation or message volume, and rarely include the CRM and booking that make them useful. In VCPility, AI chat comes with the Elevate plan from A$590 a month plus GST, which also adds a website and reputation management (checked October 2026).

Ask any provider for usage charges, what happens when you exceed limits, whether your conversations are used to train their models and how you export the conversation history.

Common questions

  • Will an AI chatbot replace my receptionist?

No. It handles the repeat questions and after-hours enquiries, so your receptionist spends time on the conversations that need a person.

  • Do I have to tell customers they are talking to AI?

The OAIC's guidance says businesses should clearly identify chatbots as AI. It is also the honest thing to do.

  • Can the chatbot book appointments?

Yes. The Launch Your Dream AI Chatbot qualifies the lead and books the appointment into your calendar.

  • Can it answer phone calls?

Website chat is the core feature. An AI voice receptionist is offered as a separately priced add-on on some suites.

  • How long does it take to set up?

Within 7 working days of receiving your onboarding details, including your approved answers.
